Google Business Profile for doctors: a step-by-step setup guide
Set up and improve your clinic's Google Business Profile in India: verification, categories, photos, timings, booking link, reviews and the mistakes to avoid.

When a patient types "dentist near me" or "child specialist in Rohini", Google shows a small map and a few clinics before anything else. Those listings come from Google Business Profile, a free tool. For many clinics it brings more new patients than any other single thing.
This guide explains how to set up your profile properly, step by step. You do not need an agency. You do need an hour, some photos and the correct details.
What is a Google Business Profile?
It is your clinic's free listing on Google Search and Google Maps. It shows your name, address, phone number, timings, photos, reviews, website and a way to book. Patients can call you, get directions or open your booking link straight from it.
Step 1: Create or claim your profile
Search for your clinic's name on Google Maps. Your clinic might already be listed, since Google can create listings from public information. If it is, claim it. If not, add it as a new business.
Use the real name of the clinic as it appears on your signboard. Do not stuff keywords into the name, such as "Best Dentist Delhi Cheap Root Canal". Google can suspend profiles that do this.
Step 2: Verify it
Google needs to confirm that you control the clinic. Depending on your account, verification may be by postcard, phone, email or video. Follow the options Google shows you. Until you are verified, you cannot fully manage the profile. Verify as soon as you can, because an unverified listing can be edited by others.
Step 3: Choose categories carefully
Pick one primary category that describes the clinic best, such as "Dentist" or "Skin care clinic". Then add additional categories for other services you really offer. Categories help Google decide which searches to show you for, so be accurate rather than ambitious.
Step 4: Fill in every detail
An incomplete profile looks careless. Check each of these:
- Address: exactly as it is on your signboard, with a correct map pin.
- Phone number: one that is answered during timings.
- Timings: weekly hours, plus special hours for holidays like Diwali and Holi.
- Website: your clinic website or booking page.
- Services: list the treatments you provide.
- Description: a short, factual paragraph about the clinic and doctors, without exaggeration.
Keep this information the same everywhere online: on your website, Facebook, Instagram and other listings. Mismatches confuse both patients and search engines.
Step 5: Add real photos
Profiles with photos feel more trustworthy. Add:
- The outside of the clinic and the signboard, so people can find it
- The reception and waiting area
- The doctor, with their consent
- The treatment room (not patients)
Take photos in good light on a phone. Do not use photos of patients without their written permission. Do not use someone else's photos.
Step 6: Add a booking link
A "Book" option next to your listing turns a search into an appointment. Add your booking page link as the appointment URL. Patients who find you late at night can book at once, without waiting for the phone line to open. Read about setting this up in online appointment booking for clinics.
Step 7: Ask for reviews, the right way
Reviews are among the most important parts of your profile. Patients read them before choosing a doctor. Here is how to get them well.
- Ask after a good visit. Send a polite message with the link to your review page.
- Make it easy. One tap on a phone, no instructions.
- Ask everyone, not only happy patients. A steady flow looks natural.
- Never pay for reviews or write your own. It breaks Google's rules and your patients' trust.
- Do not offer gifts or discounts in exchange for reviews.
On Clinicly Pro, a polite request for a Google review goes out after each completed visit, pointing to your Google profile.
Step 8: Reply to every review
Reply to all reviews, good and bad, in a calm and polite tone. Thank the patient for kind words. For a negative review, apologise for the experience in general terms and invite them to contact the clinic. Do not share any patient details in a public reply, even to defend yourself, because that can breach patient privacy.
Example reply: "Thank you for your feedback. We are sorry that your wait was long. Please call us on the clinic number so we can look into it."
Step 9: Post updates
Google Business Profile lets you post updates, such as timings during festivals, new services or health camps. Keep posts short, factual and free of medical claims. A few posts a month show that the clinic is active.
Step 10: Check it every month
Once a month, spend ten minutes checking that:
- Your timings and phone number are correct
- New reviews have a reply
- Photos are current
- Any suggested edits from users are right
- Questions from patients are answered
Mistakes to avoid
- Fake or duplicate listings. One clinic should have one profile.
- Keyword stuffing in the name.
- Wrong pin on the map. Zoom in and place it on the building.
- Old timings. A patient who arrives at a closed clinic leaves a bad review.
- Ignoring reviews.
- Posting medical claims or patient stories.
How this connects to the rest of your clinic
Your Google profile brings patients in. What happens next decides whether they come and come back. A booking link turns interest into a visit, WhatsApp reminders help them show up, and a follow-up list brings them back. See reducing patient no-shows and building a follow-up system.
If you would rather have help, Clinicly's Google Growth plan (₹4,999 a month, excluding GST) has the team manage your Google Business Profile, publish 8 Google posts a month, link a book button to your booking page and send a monthly report on calls, bookings and reviews. Clinicly Pro is included.
What to do about wrong information or fake listings
Sometimes patients or other users suggest edits to your profile, and sometimes another listing for your clinic appears with an old address. Check the profile regularly and reject wrong suggestions. If a duplicate exists, follow Google's process to report it so only one correct listing remains.
If you move the clinic or change your phone number, update Google on the same day, as well as your website, social pages and printed material. Patients who arrive at an empty address or reach a dead number rarely try again.
Finally, keep a short record of who has access to the profile. If a staff member or agency who managed it leaves, remove their access so the listing stays in your control.
